An extract from the current account for an organization is an important financial document that is necessary for the accounting department of an enterprise. But what is an extract for individuals? Do they need it?

Individuals can interact with a banking organization in various ways. Have a credit or debit card, deposit or loan, pay a mortgage, car loan. Bank statements for individuals are primarily of an informational nature about cash flows.

The client can independently control the receipt and debiting of money, check information about commissions and interest under the agreement. In addition, such a paper document has legal force. The certificate will confirm the presence of overdue debt, fulfillment of obligations under the contract and is suitable for submission to the court or other banking organizations.

For loans

The loan statement displays the amount of money credited and debited. The “Receipts” column contains the amounts contributed by the client. The “Write-off” section contains data on how funds are distributed across the account.

Information is provided on how much was written off from the principal debt and how much was used to pay off interest for the actual use of loan funds. Dates of actual receipt of money and debit, as well as the amount of funds currently in the account.

The client can independently calculate, based on this certificate, the total amount spent on paying fines and interest.

For credit cards

At the end of each billing period, credit card holders receive invoice statements that indicate the amount of transactions for the past month, information about crediting money, the total amount of debt and the obligatory payment.

Standard account information contains minimal information. Banks can notify customers via SMS, sending a letter by mail or email. A more detailed bank document on the current account is generated upon direct request from the client.

For deposits

The bank account statement for the deposit includes information about the current amount, as well as accrued interest. This is relevant for deposits with monthly interest capitalization, since the client can independently monitor the profit that his deposit brings.

It will also be possible to track the movement of funds in a bank statement if the terms of the deposit provide for partial withdrawal of money or transfer of interest to a debit card.

Bank statement for the organization's account

Information about transactions made on the account is reflected in the statement. In other words, a bank statement on an organization’s account allows the company’s accountant to know the actual information about the status of the current account and see all movements on it. An employee of the enterprise files a bank statement with the primary documents (payment order) according to which the funds were flowing through the account.

The statement reflects the movement of the enterprise’s own finances (income, expenses).

The document is issued to an official employee of the enterprise by the bank's service staff, sent by mail or electronically daily, unless other terms have been previously agreed upon by the parties.

Other ways to enter bank documents

Payment orders and bank statements can be entered not only using the methods discussed above, but also on the basis of purchase and sale documents. For example, when receiving payment from a buyer, this is done like this. A list of sales opens, in which the document for which the buyer transferred money is selected. Using the “Create based on” button, select the desired form “Receipt to current account”:

Features of document formation

Statements in most cases are issued the next day after the movement of money through the organization’s bank account. The important features of document formation are two columns in which debit and credit are reflected. The first reflects funds debited from the account, the second - credits made to the account.

The company's account with a credit institution is a settlement account, in other words, the bank stores money belonging to the client on it. When considered a debtor, the financial institution displays the account balance as accounts payable. Due to the fact that the company's account for the bank is passive, the balance of funds is displayed in the loan statement. Financial assets written off from the organization’s account reduce the debt of the credit institution, so the debt to the client becomes less. For an organization, it's exactly the opposite.

Uploading the software to the client bank

After creating a payment order, the user can generate a file and send it to the bank. The step-by-step instructions will look like this:

  • you need to open the “Payment orders” journal and set “Send to bank”;

  • then indicate the unloading date using the “Select period” button;
  • after which the “Update documents for export” button is pressed;
  • Next, click on the “Select” button in the “Upload file to bank” field. A window will open in which the file name will be generated in text format;
  • at the next stage you need to click on “Upload”.

At the stage of uploading a file, the program checks it for viruses.

Then the user needs to click on “Check”.

If the test results are positive, a notification will appear indicating that the uploaded file is identical to the program data. Then you can click on “Close”.

A table with unloading data will be generated using the “Unloading Report” hyperlink.

A file in txt text format can be opened using Notepad.

The prepared file can be uploaded to the client bank. To do this, in the import section you need to specify a file with payments. Automatic loading into the system will occur after clicking the “Import” button.

Checking your bank statement

Processing of financial documents and checking of bank statements occurs on the day they are received by the company's accountant.

The job responsibilities of the accounting department of a company or enterprise include:

  1. check and attach all supporting documents for the statement of crediting and debiting funds;
  2. check all entries in the extract with the primary documents. If inconsistencies and discrepancies are detected in the documents, the accountant is obliged to urgently contact an employee of the banking institution;
  3. The accountant enters account codes in the right margin of the statement. They are placed opposite the corresponding amounts;

The actions of an accountant help to monitor the enterprise’s funds, generate information for inspection bodies, and bring documents into a finished form before their final archiving.

Algorithm for creating a payment order

In the document, you must fill in the main fields, starting with “Document Type”. The structure and fields for filling out analytics will change depending on the selected parameters. Next, you need to post and close the document using the “Post and Close” button.

To generate transactions, you will need to create a “Write-off from account” document. This can be done manually or based on a payment order.

Doubts about electronic statements

Accountants working at enterprises that have implemented an electronic document management system (Accounting 1C, Client-Bank) have doubts about electronic statements, how they should be stored correctly and whether they should be printed.

There are no regulations that directly permit or prohibit the storage of electronic statements in PDF format, so the situation becomes somewhat more complicated. In this case, the rule of Article 9 of Federal Law No. 129 applies, according to which the enterprise is obliged, at the request of the inspection authorities or another authorized person, to produce at its own expense and submit primary documents in electronic form.

Many banks, after switching to an online service system, refuse to issue the required statements, asking clients to print and certify documents themselves as needed.

Bank statement: sample

If an enterprise independently maintains more modern financial accounting, then it would be wise to install an electronic bank for its convenience. The accountant will be able to personally monitor all movements of funds in the accounts of the reporting enterprise, and he will be able to easily print out a bank statement himself at any time without interrupting his work.

To fill out such a form manually, a standard bank statement is suitable: the sample can be downloaded on the Internet, opened in Excel and the necessary edits can be made there. The main thing is that the document contains the necessary information.

What information is included in the statement?

Bank account statements may differ slightly in appearance because they are printed on different technologies. It is more important to find out what information is indicated in the statement.

  1. “Posting date” – the date of the transaction on the client’s account;
  2. “Recipient’s account” – recipient’s current account number;
  3. “VO” – type of financial transaction;
  4. “Nom. doc. Bank” – incoming document number;
  5. “Nom. doc. Client” – payment document No.;
  6. “BIC bank corr” – BIC of the recipient’s bank;
  7. "Corr. Account” – a corresponding bank account;
  8. “Payer’s account” – payer’s account number;
  9. “Debit” (client arrival);
  10. “Credit” (customer expense).

Types of statements depending on the time period

By date there may be statements:

  • Quarterly - for a period of 3 months. Used for accounting purposes, to confirm a debit or credit to an individual’s account.
  • Annual - during the calendar or working period indicated in the documents.
  • One-day - documents printed for a specific date.
  • Arbitrary - certificates with an interval specified by the account owner. May include several days, weeks, months or even years.

How does an accountant check and process statements?

Only an officially authorized employee of the enterprise can obtain a bank statement. The list of such persons is compiled by the head of the organization and the chief accountant. Usually the accounting staff deals with financial documents.
